1. Who we are

ClearX is a freelance portal that connects to Exact Online via OAuth2. This application is developed and maintained as a personal or professional tool for freelancers using Exact Online (Belgian instance).

2. What data do we process?

ClearX retrieves accounting records from Exact Online. To run the portal, ClearX stores additional project plans, settings, document links and cached records in Google Firebase (Cloud Firestore). Audit and error logs may include your user ID, email address and selected administration.

Your Exact Online access and refresh tokens are stored encrypted on the server in Firestore and used to access Exact Online on your behalf. The browser session cookie contains a session reference and identity information, without the Exact tokens. ClearX does not receive or store your Exact password.

3. Cookies

ClearX uses a minimal set of cookies that are strictly necessary for the application to function.

4. Analytics

ClearX currently does not use any analytics tools. If analytics are added in the future (e.g. to understand how the application is used), this policy will be updated and users will be informed. Any analytics tool used will be privacy-friendly and GDPR-compliant.

5. Third parties

ClearX communicates with the following external services:

• Exact Online — your accounting data is retrieved from and stored in Exact Online. Their privacy policy applies.
• Google Firebase (Cloud Firestore): stores the project data, settings, logs and encrypted authentication tokens used by ClearX.
• EU VIES — used for VAT number lookups when creating a new customer. No personal data is sent.

For questions about your personal data or a request to access, correct or delete data stored by ClearX, contact info@ap-studios.be. Manage your accounting records in Exact Online through your Exact administration.
